  • Careful, personal replies to negative reviews
  • Serious complaints passed to you right away

How it works

From silent profile to a business that replies

You stay in control of the tone. We handle the writing, the speed and the follow-up.

  1. Review audit

We read your past reviews, count the unanswered ones and note what customers mention most.

  2. Brand voice

We write a short tone guide: how formal, how warm, what to say and what to avoid. You approve it.

  3. Clear and reply

We answer the backlog first, then reply to new reviews as they come in.

  4. Report and learn

We share what customers keep praising or complaining about, so you can act on it.

What’s included

Everything it takes to reply well

Good replies are short, personal and consistent. Here is how we keep them that way.

Backlog clean-up

Old reviews without a reply make a profile look abandoned. We answer them first, starting with the most recent and the most negative, so your profile looks active again within days.

Brand voice guide

A one-page guide so every reply sounds like your business, whoever writes it.

Negative review playbook

Clear steps for complaints: acknowledge, apologize where fair, and move the talk offline.

Fast replies

New reviews get an answer within 48 hours on Grow and Scale plans, while the visit is still fresh.

Escalation

Reviews about safety, legal issues or a staff problem go straight to you before we reply.

Feedback report

Your reviews are free customer research. We group what people mention most, such as wait times, staff, price or quality, so you know what to fix and what to promote.

Policy flagging

Reviews that look fake or break Google’s rules are noted so they can be reported.

Why replying to reviews matters

A review reply is not only for the person who wrote the review. It is for every future customer who reads it. When someone compares two businesses with similar ratings, the one that answers its reviews looks more caring and more trustworthy.

Consumer surveys such as BrightLocal’s yearly Local Consumer Review Survey keep showing that people read business responses and expect owners to reply, especially to complaints. A profile full of unanswered reviews tells them nobody is listening.

Replies also keep your profile active. Google’s Business Profile Help Center encourages owners to respond to reviews, and an active profile with fresh reviews and replies sends a clear signal that the business is open and engaged.

How we reply to positive reviews

Positive reviews deserve more than “Thanks!”. A short, personal reply makes the customer feel seen and shows readers what kind of business you are.

  • Use their name and what they mentioned. If they praised the fast delivery, we thank them for exactly that.
  • Keep it short. Two or three sentences read better than a paragraph.
  • Invite them back. A simple “See you next time” turns a review into a relationship.

Happy customers who feel noticed are more likely to come back and recommend you. If you want more of these reviews in the first place, our Google review generation system helps you ask every customer the right way.

How we handle negative reviews

A bad review is a public conversation. The person who wrote it may not change their mind, but everyone else reading it will judge how you respond.

Stay calm and specific

We acknowledge the problem in plain words, apologize where it is fair and never blame the customer. Defensive replies do more damage than the review itself.

Move the conversation offline

We invite the customer to contact you directly by phone or email, so details can be sorted out privately. Readers see a business that takes action.

Protect privacy

We never share order details, health information or anything private in a public reply. For clinics and care providers this matters even more: a reply should not confirm that someone is a patient.

When a review breaks the rules

Some reviews are not genuine customer feedback. Google’s content policy does not allow fake reviews, reviews from competitors, off-topic rants, hate speech or personal attacks. When we spot a review like this, we flag it so it can be reported through your profile.

  • Reporting is not removal. Google decides, and genuine negative reviews will stay.
  • We still reply. A calm public reply protects you while a report is reviewed.
  • No shortcuts. We never offer customers anything to change or delete a review.

If your profile has been hit by a wave of fake or unfair reviews, our reputation recovery service handles the reporting, documentation and follow-up in depth.

Who this service is for

Review response management fits any business that gets reviews faster than it can answer them, including:

  • Restaurants and cafés with daily reviews
  • Clinics and dental practices that need privacy-safe replies
  • Hotels, salons and gyms with busy profiles
  • Home service businesses whose owners are always on the job
  • Multi-location brands that need one consistent voice

Replies work best on a complete, accurate profile. If yours still has gaps, our Google Business Profile optimization service fixes them.

What results to expect

The first change is visible right away: no more unanswered reviews, and a profile that looks cared for. Over time, many businesses notice more customers mentioning the replies, more detailed new reviews, and complaints that end in a resolved conversation instead of a lost customer.

We can’t promise that every unhappy reviewer will update their rating. Some will, many won’t. What we do promise is that every review gets a thoughtful, on-brand reply, and that you’ll always know what your customers are telling you.

FAQ

Questions about review responses

Do you reply in my business’s name?

Yes. Replies appear as the business owner, written in the voice you approve. Customers see your business answering, not an agency.

Do you reply to every review?

Yes, positive and negative, including reviews with only a star rating and no text. Short reviews get short, warm replies.

Can I check replies before they go live?

Yes. You can approve every reply, or approve the tone guide and let us post directly. Many owners start with approval and switch once they trust the tone.

Are replies written by AI?

Every reply is written or checked by a person on our team. Customers can tell when a reply is copied or automatic, and that hurts trust more than no reply.

Can you delete my negative reviews?

No one can delete a genuine review. We reply carefully to honest complaints and flag reviews that break Google’s rules so they can be reported.

Do you need my Google password?

No. You add us as a manager on your Business Profile from your own account, and you can remove our access at any time.
