Google Review Reply Templates

Reply to every Google review in seconds. Pick the type of review and a tone, add a few details, and copy a thoughtful reply for happy customers, unhappy customers and everything in between.

Your reply

Read every reply once before posting and adjust it to the review. A personal touch always beats a perfect template.

Why reply to every review

Your replies are public. Every future customer who reads your reviews also reads how you answered them. A thoughtful reply to a happy customer shows warmth, and a calm reply to an unhappy one shows you take problems seriously.

Replies also keep your profile active and show Google that your business is engaged. Pair this with more reviews over time, and use our free Google rating calculator to see how many reviews you need to reach your rating goal.

Replying to positive reviews

  • Use their name and thank them sincerely.
  • Mention something specific from their review, so it doesn’t feel copied.
  • Keep it short. Two or three sentences are plenty.
  • Invite them back with a simple “See you next time”.

Replying to negative reviews

A negative review is a public conversation. The reviewer may not change their mind, but everyone reading will judge your response.

  • Reply within 24 to 48 hours, before the review gathers attention.
  • Apologize for their experience without blaming the customer or making excuses.
  • Never argue in public. Even when you disagree, stay calm and polite.
  • Move it offline by sharing a phone number or email to sort it out privately.
  • Protect privacy. Never share order details, and in healthcare never confirm someone is a patient.

If your business gets more reviews than you can answer, our review response management service replies to every one in your brand’s voice.

When a review looks fake

If you can’t find any record of the reviewer as a customer, reply calmly and say so without accusing anyone, then report the review. Google explains how in its guide to reporting inappropriate reviews.

  • Stay factual. “We can’t find a record of your visit” is safer than “This is fake”.
  • Invite contact. If it was a real customer, this opens the door to solving it.
  • Report it once. Google decides, and only reviews that break its policies are removed.
